Your story stays yours.
What you tell us, you tell us so we can find you a counsellor. That's the only thing we use it for. Here's the whole policy, in plain words.
Last updated: October 2026What we collect
Only what you type into our two forms:
- The intake form: your name, how to reach you, roughly where you live, your status registration number or Inuit enrolment number (counsellors need it to bill NIHB), and what you tell us about what you're looking for in a counsellor. Your number is stored only in our secure database, is never sent by email, and is shared only with the counsellor you agree to see.
- The contact form: your name, email, and message. This form actually opens your own email app, so the message travels as an ordinary email from you to us.
We don't collect anything behind your back, and we don't buy information about you from anyone.
Website analytics
On our public pages (the homepage, the directory, the city pages and our information pages) we use Google Analytics to count visits: which pages get read, roughly where visitors are (city level), what device they use, and which buttons get clicked, like “Start your intake.” It uses cookies to tell one visit from another. It never sees anything you type.
Google Analytics does not run on the intake form, the screening questions, the NIHB form helper, the secure assessment viewer, or the counsellor portal. We have turned off Google signals and ad personalization, so this data is never used for advertising. You can block it with any ad blocker or with Google's opt-out add-on, and the site works the same.
Why we collect it
One reason: to search for and introduce you to an NIHB-enrolled counsellor near you. A person on our team reads your intake and uses what you shared (location, preferences, what you're carrying) to find counsellors who fit. That's it. We don't build profiles, score anyone, or use your words for anything else.
Who sees it
Two groups of people, and no one else:
Wapan's small team
The people who read intakes and search for matches. We're a small team, and everyone who can see your information is doing this one job.
The counsellor we propose, only with your consent
When we think we've found a fit, we tell you about the counsellor first. We share your details with them only after you agree, and only what's needed to make the introduction. Until you say yes, counsellors don't know your name.
What we never do
- We never sell your information. Not to anyone, not ever.
- We never use it for advertising or marketing lists.
- We never run analytics on the intake form, the screening questions or the NIHB form helper. Anything you type there stays between you and us.
- We don't share your information with band offices, employers, NIHB, or anyone else without your consent, unless the law requires it, which is rare and we would tell you if we could.
Where your information lives
When you press send, your intake is delivered securely to our team. Before that, if you use the save-and-come-back feature, your draft is stored only on your own device. It never reaches us until you choose to send it. If you clear your browser data, the draft is gone; nothing of it exists on our side.
Your rights
Under Canadian privacy law (PIPEDA), you can:
- Ask what we have. We'll show you everything we hold about you.
- Ask us to correct it. If something is wrong or out of date, we'll fix it.
- Ask us to delete it. We'll delete your information and confirm when it's done.
For any of these, email hello@wapanhealth.com. A person will handle it: the same people who handle everything else.
How long we keep it
If your intake leads to a match, we keep the basics so we can follow up and stand behind the introduction. If it doesn't lead to a match, we delete it after a reasonable period rather than letting it sit around. And if you ask us to delete it sooner, we will.
About this policy
This policy is written in plain language on purpose. We're a small team in Phase 1 of this service, and we'd rather you actually understand what happens to your information than be impressed by legal wording. If anything here is unclear, or if we've fallen short of it, write to hello@wapanhealth.com and we'll answer honestly.
If we change this policy, we'll change the date at the top and say what changed.
